What an AI meeting note-taker really costs your team in 2026
As of 17 October 2026, the cheapest paid AI note-taker seats on annual billing in our dataset are Krisp Core ($8 per user per month, $96 a year), Notta Pro ($8.17 a month, a single seat) and Otter.ai Pro ($8.33, up to 5 billed users). For a 10-person team on annual billing, Krisp Core comes to $960 a year and Fireflies Pro to $1,200. Month-to-month billing costs more on every tool that shows both prices.

- 1 seat: Krisp Core $96; Notta Pro $97.99; Otter.ai Pro $99.96 a year.
- 5 seats: Krisp Core $480; Otter.ai Pro $499.80; Fireflies.ai Pro $600 a year.
- 10 seats: Krisp Core $960; Fireflies.ai Pro $1,200; Granola Business $1,680 a year.
- 25 seats: Krisp Core $2,400; Fireflies.ai Pro $3,000; Granola Business $4,200 a year.

Our math: per-seat monthly price × 12 × seats (Notta Pro uses its stated $97.99 yearly total). "n/a" means the plan doesn't allow that many seats or the price isn't shown. Otter.ai Pro allows up to 5 billed users, so a 10-person team needs Otter Business (up to 25). Fathom Team and Business have a 2-user minimum, and Fathom Premium is an individual plan. Notta Pro is a single seat. Fireflies Enterprise is annual only. *Granola lists Business at $14 per user per month without stating the billing period; the figure assumes $14 every month.
Costs that don't show up in the headline price
- Add-ons: Fireflies sells AI credits from $5/month for 50 (paid plans), and its billing terms say paid accounts are auto-subscribed to that tier when their one-time credits run out. See Fireflies pricing.
- Seat minimums and caps: Fathom Team and Business, 2-user minimum. Otter.ai Pro, up to 5 billed users; Business, up to 25. Notta Pro, 1 seat; Notta's Enterprise plan starts from 51 seats.
- Usage caps inside paid plans: Otter.ai Pro, 1,200 minutes a month per user and 90 minutes per conversation. Notta Pro, 1,800 minutes a month and 5 hours per recording. Fireflies Pro, 8,000 minutes of storage per seat and 2-hour recordings. Read AI Pro, 4 hours per meeting. Krisp Core, 10 GB storage.
- Promotional prices: Otter's page showed promo prices on 17 Oct 2026 ($4.17 / $8.49 on Pro, marked "Offer valid only with an India-issued credit card", and $24 for 3 months on Business monthly). The tables use list prices.
- Currency and tax: tl;dv's structured data prices its plans in EUR. All prices exclude sales tax or VAT.
Do all your teammates need a seat?
Fireflies' billing terms say every admin or member counts as a billable seat. Read AI says all licenses are individual and you need one for each person you invite to a workspace, all on the same plan. Krisp counts any teammate added to a paid team as a seat. In general, buy seats for the people who need to record, and check each vendor's sharing options before buying seats only for readers.

As of 17 October 2026, the paid plans we track list from $8 per user per month on annual billing (Krisp Core) and from $8.17 a month for a single seat (Notta Pro, annual billing) up to $39 per seat (Fireflies Enterprise, annual only). Month-to-month billing usually costs more.
What is the cheapest AI note taker for a team?
At 10 seats on annual billing, the lowest list price in our table is Krisp Core at $960 a year, followed by Fireflies Pro at $1,200. Otter.ai Pro is cheaper per seat but allows up to 5 billed users, so a 10-person team needs Otter Business.
Is annual billing worth it?
It's cheaper per month on every tool here that shows both prices: for example Krisp Core is $8 a month on annual billing vs $16 monthly, and Fireflies Business is $19 vs $29. You pay the year up front, so check each vendor's cancellation and refund terms first.
Do people who only read the notes need a paid seat?
It depends on the vendor. Fireflies counts every admin or member as a billable seat; Read AI licenses are individual and every workspace member needs one; Krisp counts any teammate added to a paid team. Check the vendor's seat rules before you buy.
Are there hidden fees?
The main ones we found: Fireflies auto-subscribes paid accounts to a $5/month AI credits add-on when their one-time credits run out; Fathom's Team and Business plans have a 2-user minimum; Otter.ai Pro caps the workspace at 5 billed users.
